How Does MyInvoices & Estimates Compare?

MyInvoices & Estimates Deluxe is an easy-to-use invoicing program, especially suited to small businesses. This invoicing application allows you to create professional-looking estimates, invoices, statements and purchase orders; record/track customer payments, manage inventory and customer/vendor details and generate reports (over 30).

The navigation is intuitive, with the main window set out with the following tabbed sections: Invoice, Estimate, Purchase Order, Register, Payment, Customer, Vendor, Product/Service, and Customize. MyInvoices & Estimates' design wizard helps you set up your company file and select your invoices & estimates format. You can further customize these (logo, font, column widths, borders, text blocks, etc). You can easily change estimates into invoices in one step; and discounts, taxes (US and Canadian), subtotals and totals are automatically calculated. You can also apply credits to invoices and the program checks customer credit limits as well. One-time late charges or monthly interest charges can be processed (as pre-set by the user).

You can accept payment by check, credit cards, or ATM/debit cards (if they can be processed as credit). To accept credit card payments you do need to set up a merchant account with Cardservice International through the program. However, you do obtain three months’ free credit card processing when you buy MyInvoices & Estimates Deluxe.

A customer/vendor and product/service list is automatically created as you enter information into the program. An Autofill function will then search for matching information as you type to add automatically for you, saving time.

You can also track your product inventory and set minimum level notification reminders with MyInvoices & Estimates. When you prepare an invoice or receive items from a purchase order, your inventory is correspondingly adjusted.

The program’s Register keeps a list of all invoices, estimates and purchase orders created, which can be sorted in numerous ways (for example by unpaid invoices). There’s a great Tracker feature which checks your company file for unpaid invoices even when the program isn’t running. The Tracker-Outstanding Invoices window opens each time you open Windows displaying any unpaid invoices. From here you can choose to view a customer’s payment history, retrieve contact information, send the customer an automatically-generated reminder letter, or start MyInvoices.

In the Customer page you can view and edit customer details. You can add details such as discounts and credit limits here. There’s also a Notes box which lets you record customer activity. And all activity carried out for each customer is automatically documented and date-stamped in this Notes section (for example date customer created, date invoices sent, date payments applied).

MyInvoices & Estimates can also generate pre-written letters for you to edit and send to your customers (such as estimate cover letter, new account, first notice, second notice, thank you for payment, etc).

You can send invoices (PDF or text format) to customers by individual email or batch email. We especially like the feature which allows you to email statements to all customers with overdue invoices (or those past 60 days due, for example). You can also send invoices by fax (if you’ve installed a Windows fax driver).

You can view and print a variety of reports - more than 30 are available (Accounts Receivables, Aging, Inventory, Invoice Journal, Sales by Customer/Project/Service Rep, Sales Tax Charged/Collected, etc).

MyInvoices & Estimates contains a searchable online help section and help buttons in dialogs, as well as a user’s guide. There’s also a FAQ section at www.support.avanquestusa.com. You can also submit a free email request. Otherwise live technical support is more expensive, costing $24.95 for the first 10 mins and $2.95 for each additional minute.

Other comparable invoicing software products are QuickBooks Invoice Manager and QuickInvoice. QuickBooks Invoice Manager offers much the same features as MyInvoices & Estimates Deluxe but doesn't create/manage purchase orders and vendor details, doesn't track inventory and provide notifications, and doesn't allow you to send more than one email at a time. However one advantage of QuickBooks is that as your business grows, you can easily transfer your records directly into another of QuickBooks' financial software packages which offer more features.

QuickInvoice is another invoicing application which does have an inventory feature and can also deal with different tax systems (US, Canada, Australia and more). It comes in two version, QuickInvoice at $49.95 and QuickInvoice Pro at $79.95. The difference between the two is that the QuickInvoice Pro version stores 10,000 invoices rather than 1,000, 5,000 customers rather than 500, 5,000 inventory items rather than 500 and will show your company logo on the invoice.
