How Does QuickBooks Pro 2009 Compare?

Intuit have just released their 2009 version of QuickBooks Pro Edition (end September). New features of QuickBooks Pro 2009 include new company snapshot, live community, multiple currency support and a website creation tool.

QuickBooks small business financial software programs are the most widely used of the accounting software programs on the market. QuickBooks Pro has powerful features but is easy to use with an intuitive interface. A workflow chart layout provides quick access to all your company information and commonly performed tasks. Tutorials (recommended for new users) provide step by step instructions and QuickBook's coach mode provides tips to make the best use of the program. Transactions (e.g. invoices, checks, etc) are entered on screens that resemble the actual paper forms.

QuickBooks Pro 2009 is supported by many accountants. It's easy to send your data to your accountant - they can review data and make changes while you work (they need QuickBooks Accountant Edition).

Company Setup

The 30 minute QuickBooks EasyStep Interview walks you through setting up your company. According to your answers to the questions, the program turns on selected features which then appear on the Home page - customizing QuickBooks to match your business needs. Navigation

QuickBooks Pro provides easy navigation through the home page & icon bar. Users can customize their home page through the Preferences option - selecting only the forms and workflows most relevant to their business. The icon bar is also customizable.

The home page groups related tasks together with workflow arrows. The new Company Snapshot provides a business overview in real-time with the Income & Expense Trend graph, account balances, unpaid invoices and reminders panes. Customer, vendor & employee information is organized in separate centers.

Forms

With QuickBooks Pro 2009, users can create estimates, invoices, credit memos, customer statements and sales orders & sales receipts. Forms are customizable by adding or removing fields in different sections. Users can checkmark certain items - selecting them to appear on screen and/or when printed on customer invoices. The Layout Designer displays how items will look on forms. Items can be moved around and increased/decreased in size. There's quite a lot of flexibility provided in the forms designs.

Customer/Vendor Details

Customer & vendor information is organized in Customer & Vendor Centers (which also contain any related customer/vendor transactions). The Centers contain contact details, additional information (such as payment terms, credit limits), custom fields that can be added as desired (e.g. customer birthday, etc) and a Notes section which links to a To-Do list with reminder dates you can set for individual items. Online Banking

The Online Banking Center allows you to manage online banking tasks and view up-to-date financial information for your accounts.

To turn on the Online Banking feature, select your financial institution & enter account information. Your financial institution will be prompted to activate online services for you and provide you with logon information. You will then be able to create and send online transactions (there's a handy Online Transmission Summary provided which can be printed for your records), and also download transactions back into QuickBooks.

Check if your financial institution offers online check & bill pay through QuickBooks - (they may charge bank fees for this service).

Time Recording & Billing

Time can be entered for employees by single activity or by week. There's also a stopwatch to click when starting and finishing an activity (with a pause button) which may help to more accurately measure time spent on tasks. Notes recorded on the time entries can be displayed on client invoice if desired.

When creating invoices and selecting the customer (from the drop down list), QuickBooks Pro alerts you if that customer has unbilled billable time and expenses/mileage and checks if you want to add those to the invoice now or exclude them for the moment (to add to a later invoice).

To let your employees enter time themselves, you will need the subscription-based Time Tracker service, which allows employees to track their time online. (Timesheets are then downloaded into QuickBooks). There's currently a 60-day free trial and prices start at $10/month for 1 user, $25/month for 2-5 users and $50/month for 6-10 users.

Inventory

You can track inventory with QuickBooks Pro, set reorder limits and create purchase orders. Items lists (your company's products & services) link directly to sales forms and invoices to make it easier to create these forms.

Use a Purchase order to track what inventory has been ordered and what has been received. When you write checks or enter credit card charges to record expenses you can also track those inventory items (item, amount and individual cost of the item is tracked).

Payroll

The Payroll Setup Interview helps to set up company payroll information. There's a payroll setup checklist and a step by step guide to also help with setup.

The Payroll Center contains your employees details and all transactions already entered/processed. You can perform payroll activities here, e.g. pay employees, pay taxes " liabilities, process payroll tax forms and run payroll reports for each employee. You can also keep an eye on which payments are due, overdue, and upcoming.

You can process payroll manually but it is advisable to choose from one of the QuickBooks Payroll options.

Reporting

QuickBooks Pro offers over 100 pre-defined, customizable reports which export to Excel, with formulas and formatting intact. Reports can also be built from scratch, if preferable. Reports are listed (in the Report Center) by category for easy identification, along with a description of the contents. You can also drill down to the individual transactions shown in the reports with the Quick Zoom feature.

Tax reports organize data for tax time, making it easy to export directly to TurboTax if you want to complete your tax returns yourself; or to provide to professional tax preparers.

Help

Click the Help icon or F1 for help at any time. Relevant help topics are also displayed based on where you are in the program. The Search tab allows you to type in searches and the Live Community also opens when you access Help, allowing you to connect with thousands of other QuickBooks users and experts. If there are no immediate answers to be found for your query through the Live Community, you will be advised when your question is answered.
